One invoice a month, the traveller name on every line, and no deposit on any booking. How it is set up.
Roughly half our rooms on a given night are booked by companies rather than by the person sleeping in them, and the friction is never the room. It is the paperwork.
An account takes one email to set up. We need the company name exactly as it is registered, the address, the registration number, and the name and address of whoever in your office should receive the invoice. That is all.
After that, anybody from your company books by name and stays with no deposit and no card at reception. At the end of the month one invoice arrives listing every stay with the traveller name, the dates and the room rate on its own line, priced in rufiyaa with the GST shown separately.
The two things that cause trouble are worth naming. First, a transfer reference that says nothing: if it says only a number, somebody here has to telephone somebody there. Put the invoice number on it. Second, a booking made in a nickname: your accounts department cannot match Sinan to Ahmed Sinan, and neither can we.
We also keep a note of what each company prefers, which sounds small and is not. Two colleagues from one firm always want two singles rather than a twin. Another always wants the top floor. Nobody has to ask twice.
